LearnLink will deliver a new email service provided using Microsoft's Live@edu. All staff and students from year 3 and above will have a new, unique email address which will remain the same for the entire time the staff member or student is employed or enrolled in a State Government school or preschool.

Live@edu is based on Microsoft Exchange and will enable staff and students to share their calendars with each other and access their emails, contacts and calendars from a wide variety of devices. In addition to a 10GB mailbox and 7GBs of personal storage as a workspace, the solution will enable staff and students to send email attachments up to 6Mb.

Who will get a new email account?

All staff, and students from year 3 and above will have a new unique email address which will remain the same for the entire time a staff member or student is employed or enrolled in a Government school or preschool. i.e you will no longer have to obtain a new email address when you move location or have multiple email addresses if you are at multiple locations.

Schools can apply on an individual basis if they wish to have email addresses for students in year levels R-2 and will be subject to user licence availability.

Preschool children will not be issued with an email address.

When will I get my new email account?

Schools and preschools will progressively transition to the new LearnLink solution from week 4 Term 3 2012 to the end of Term 4 2012, according to a pre-defined rollout schedule.  School and preschool leaders will know by the end of June 2012 when their school or preschool is scheduled to transition.

Will there be generic email accounts in the new Live@edu solution?

There will be no generic email accounts, except for generic class based email addressees for year levels 2 and under, and preschool.

How will I access my Live@edu email account?

To access Live@edu you type in http://www.outlook.com in your browser. Alternatively you can access Live@edu by clicking the "Email" link within the LearnLink portal.

Once you access Live@edu you will need to login. If you access Live@edu via the LearnLink Portal you will be automatically signed in to Live@edu. If you access Live@edu directly (not via the LearnLink Portal) you will need to login usingyour full email address.

How will I access my Live@edu email account if my school/preschool has its own local email service?

Schools will still be able to run local email servers including Microsoft Exchange, Novell GroupWise or other email software. If a school chooses to maintain their own local email system then their email domain will continue to be @<schoolname>.sa.edu.au for that mail server.

Automated processes will be provided via the LearnLink Administration System to allow schools and preschools to establish bulk automatic email forwarding from Live@edu to the local school email system.

How will staff be informed of their new email address and password?

Staff will be informed of their new email address and password via their payslip on the payday that their school or preschool is scheduled to transition to LearnLink.

It is important to note that with this one password staff can now access their email, staff and student information, and their own personal information. Hence, it is critical that the importance of not sharing passwords is reinforced to ensure the privacy and confidentiality of personal information and that of others.

For security reasons, staff will only receive the first component of their password via their payslip. Site leaders will have the second component which they will communicate with staff when their school or preschool is scheduled to transition. The project team will provide this information to site leaders at the appropriate time during the transition.

How will students be informed of their new email address and password?

School and preschool leaders will need to manage this process.  The LearnLink project team will provide this information to site leaders at the appropriate time during the transition.  Leaders will then be responsible for planning and managing the dissemination of this information within their school or preschool.

How will staff and students reset their password if they have forgotten it?

A self service facility will be available to staff and students when they go to log into LearnLink.

If the staff member or student can not reset their own password, then only delegated preschool/school administrators will have access to reset passwords for staff and students at their location.

What will happen to my current EdMail email account?

An interim solution will be implemented that will enable emails sent to your EdMail accounts to be automatically forwarded to your new Live@edu email account. This interim arrangement will remain in place until the end of Term 4 2013, to ensure staff and students have plenty of time to inform relevant contacts of their new email address.  

Staff and students who want to use this facility will need to register their current email addresses via the LearnLink portal, once their school or preschool has transitioned to LearnLink.

What processes do I need to follow to use my new Live@edu email account?

Once staff and students  receive  their new email address during transition they will have access to  fact sheets to identify how to start using their new email account  and how to forward email from their EdMail accounts to your new Live@edu email.

How can I organise for a staff member or student’s email address to be changed without a name change?

A change to the person's email name in LearnLink Admin will automatically cause a new email address for the person to be created.

However sometimes you may require an email address to be changed without changing the person's name.  For example a student being bullied may request a new email address. 

The ICT Customer Support Centre will have the ability to generate a new email address for a staff member or student upon request by the school or preschool.  This email address will then be displayed in LearnLink Admin and can be communicated to the staff member or student.

I got my new email address early, but my school/preschool has not yet transitioned. What do I do?

Please request your site administrator to set up email forwarding from your new account back to your old account until your site has transitioned. They can apply this change via LearnLink Admin using FS70-366 (Email Forwarding).

I work at two schools. I got my new email address when the first one transitioned, but the new one has not yet transtioned. What do I do?

You can set up email forwarding on your old email account to send email to your new mailbox until both sites have transitioned. Please refer to FS70-220 Forwarding my old email to LearnLink.
